Human Resource Officer

The Methodist Church in Singapore (MCS) is a connectional church comprising the General Conference, three Annual Conferences, local churches, and various agencies and organisations. The General Conference (GC) is the highest body of the MCS, responsible for legislation, policy, and the overseeing of its various agencies, including the programme agencies responsible for education, missions, and welfare services.

We have a vacancy for Human Resource Officer.

Responsibilities and Duties

1) Human Resource

  • Maintain Learning and Development statistics to record the Learning and Development programmes attended by staff according to KRIS application, etc.
  • Monitor the programme evaluation form by sending and collect from staff who attend external or customised programmes.
  • Send get-well hampers to staff members who are hospitalized.
  • Send congratulatory gift to staff members with newborn.
  • Send condolences wreath to decreased staff member, committee, council, board member or staff members’ family member.
  • Support the Human Resources functions in the following areas:
    • Staff onboarding. Areas identified in the Induction Checklist (preparation of name cards, stamps, stationery and office supplies; setting up of printer and copier, office telephone system); also printing of staff pass photo.
    • Staff Exit: Collection of name cards, stamps, etc.
    • Insurance related matters.
    • Any task as assigned by the HR Manager.

2) Administration

  • Assist in the annual Administration budget utilisation and monitoring. Provide the consolidated information to the Administrative Executive.
  • Assist in the planning and submission of annual Administration budget.
  • Assist with general administrative services which include handle incoming and outgoing mails, answer calls and other ad-hoc assignments. Sort out incoming mails and pass to respective departments.
  • Maintain record on the usage of the franking machine and photocopiers by various departments on monthly basis and perform top-up where necessary. Highlight to HR manager where departments have high usage of franking and photocopying numbers.
  • Handle the general lines and direct the calls to respective staff.
  • Manage the breakdown of Singtel bill and send the information to Finance department for processing.
  • Manage the sales of Book of Discipline 2022 include granting eBOD access via Ideals VDR website.
  • Manage the sales of membership, adult baptism, child baptism and transfers include printing the certificates when stock runs low.
  • Manage stationery requirement and procurement for other departments and maintain a list of the items ordered for future analysis of costing. (For example, A3, A4 papers and letterheads, drinking water, telephone set, etc)
  • Order water canister for water dispensers in various meeting rooms and offices at different levels.
  • Coordinate logistics/transport requests and monitor expenditure.
  • Co-ordinate event preparations by providing support to set up computer, sound systems, tables and chair arrangements, refreshments, etc as required by organisers. (For example, Monthly Chapel Service, Learning and Development programmes, Events, etc.)

Job Requirements

  • Diploma in Business Administration from an established institution with at least 3 years of relevant working experience.
  • Must be meticulous, analytical and have an eye for details.
  • Able to multi-task, work independently and prioritise to meet deadlines.
  • Good spoken and written communication skills. Able to communicate effectively across many levels of committees headed by clergy and laity.
  • Proficient in MS Office Application (Word, Excel, Powerpoint).
  • Observe Confidentiality and Discreet for all HR related matters.
