DRC Secretariat (Permanent Part-Time)
The Methodist Church in Singapore (MCS) is a connectional church comprising the General Conference, three Annual Conferences, local churches, and various agencies and organisations. The General Conference (GC) is the highest body of the MCS, responsible for legislation, policy, and the overseeing of its various agencies, including the programme agencies responsible for education, missions, and welfare services.
We have a vacancy for DRC Secretariat (Permanent Part-Time)
Responsibilities and Duties
- Secretariat Duties including
- Facilitate meetings through making on-the-spot text changes, noting any requests from DRC members.
- Update changes on soft copy and ensuring document formatting issues, cross-referencing various versions of The Book of Discipline (BOD) documents to ensure consistency, including creating and updating entries in the preparatory documents.
- Reviewing of meeting minutes, updating of monitoring tools and tracking action items from each meeting.
- Assist in the production of the preparatory documents and the next version of BOD, etc.
- DRC research work such as liaising with Archives for old General Conference session minutes.
- Crafting emails to other agencies to request for information on behalf of DRC Chairperson.
- Coordinating responses through various platforms such as the creation of online forms and updating the DRC accordingly.
- Crafting email reminders for meetings and noting of attendances.
- Meetings with external vendors (e.g. typesetter, print vendor) where necessary.
- Administrative Duties including
- Booking of meeting rooms.
- Seeking approval of minutes, monitoring tools and other relevant documents, circulating the meeting materials and printing of documents, where necessary, before every meeting.
- Purchasing of refreshments.
- Attending to any queries that are directed to the Discipline Revision Commission (DRC) (usually tabled for discussion at the DRC meetings, then replying to the enquirer thereafter).
JOB REQUIREMENTS
- Diploma or Degree from an established institution or university with at least 5 years of relevant working experience.
- Strong spoken and written communication skills are required to collaborate with various key stakeholders.
- Able to communicate effectively across many levels of committees headed by clergy and laity.
- Able to work well independently and under tight timelines.
- Meticulous and detailed.
- Proficient in MS Office Application (Word, Excel, Powerpoint).
