Administrative Executive

The Methodist Church in Singapore (MCS) is a connectional church comprising the General Conference, three Annual Conferences, local churches, and various agencies and organisations. The General Conference (GC) is the highest body of the MCS, responsible for legislation, policy, and the overseeing of its various agencies, including the programme agencies responsible for education, missions, and welfare services.

We have a vacancy for Administrative Executive (Permanent Part-Time).

Job Summary

We are looking for a well-organised and proactive Administrative Executive to provide administrative and coordination support to the Education Secretary and the Council on Education (COE).

You will play an important role in supporting meetings, documentation, finance administration, reporting and coordination with MCS schools, committees and other stakeholders.

Key Responsibilities 

  • Coordinate meetings for the Council on Education, Committee on Education and other internal and external stakeholders.
  • Prepare meeting notices, correspondence, minutes and supporting documents, and follow up on action items.
  • Provide administrative and documentation support to the Education Secretary and Education Secretariat.
  • Assist with budget tracking, purchase requisitions, payment submissions and reimbursement claims.
  • Support special projects, including vendor coordination, quotations and administrative documentation.
  • Assist in the collation of school statistics and preparation of annual reports.
  • Coordinate updates and annual reprints of educational and school-related publications.
  • Liaise with schools, committee members, internal stakeholders, vendors and external parties as required.

Job Requirements

  • Diploma from a recognised institution with at least 3 years of relevant working experience.
  • Strong administrative, organisational and coordination skills.
  • Good written and spoken English with strong communication and interpersonal skills.
  • Proficient in Microsoft Office, particularly Word, Excel and PowerPoint.
  • Able to work independently, manage multiple priorities and meet deadlines.

Advantageous: Experience in education, school administration, governance, finance administration or project coordination. Familiarity with The Methodist Church in Singapore would be an advantage.
